How to send physical mail to customers
COS supports sending physical mail to customers through dedicated third-party integrations. Whether you need to deliver paper invoices automatically or send one-off formal letters, these integrations handle printing and distribution while COS manages the content generation. A general API is also available for connecting additional physical mail providers.
The PostGrid integration enables automatic delivery of paper invoices to customers. COS generates the PDF invoice and PostGrid handles printing and postal distribution.
Enabling the integration: Administrators control the PostGrid integration through a dedicated setting in the admin panel. This setting also determines whether the paper invoice option is visible to users in Marketplace or Prospector.
How it works:
- The default invoice method remains email. Paper and email invoicing can run simultaneously, or paper invoice can be used exclusively.
- Billing addresses are printed on invoices to support window envelope delivery.
- Payment is processed via Stripe or NMI, or recorded directly to the ISP's account as a cash transaction.
Optional paper invoice fee: A fee for paper invoicing can be configured in the back end. If enabled, the fee is automatically applied when paper invoice is selected for a customer and removed if deselected.
The Pingen integration enables sending physical letters to customers on demand. Unlike paper invoices, letters are not sent automatically — they are triggered explicitly, for example through a Send letter action.
Use cases: Pingen is suited for formal written communications that need to reach customers by post, such as:
- Installation preparation instructions
- Formal notices and regulatory communications
- Any scenario requiring a documented physical correspondence
Tip: Because letters are only sent when explicitly triggered, you have full control over when physical mail goes out — no risk of accidental automated sends.
General API
In addition to the PostGrid and Pingen integrations, COS provides a general API for physical mail, making it possible to connect other postal service providers. Contact your account manager or the COS support team for documentation and setup assistance.
