How to apply a Template on a Work Order?

Note: This article applies to environments using the COS Deployment Portal for work order management. It does not apply to environments using COS FSM (Field Service Management).

Overview

Workflows such as installations, drops, or repairs are defined by Work Order Templates in COS Business Engine. These templates are linked directly to the Object, not to the Order itself.

Work Order Templates define the structure of the work to be performed, including tasks, scheduling parameters, and required actions.

  • Work Order Templates define standardized workflow steps (e.g., Installation, Drop, Repair).

  • Templates are linked to Objects.

  • Multiple templates can exist for different types of work.

  • Templates contain tasks that can be:

    • Assigned to a contractor

    • Assigned to a specific technician

    • Scheduled with date and time

  • Templates can be applied:

    • Individually on a single Work Order

    • In bulk on multiple Work Orders or Objects


Multiple Work Order Templates

It is possible to configure multiple standard Work Order Templates for different types of installations or field work.

If more than one template is available, the Operator must manually select which template to apply.

There is no automatic selection when multiple templates exist.


Applying a Template to a Single Work Order

Operator users can manually apply a Work Order Template to an individual Work Order.

Steps:

  1. Navigate to the Work Order.

  2. Select Apply Template.

  3. Choose the appropriate Work Order Template.

  4. Confirm the selection.

Once applied:

  • All tasks defined in the template are added to the Work Order.

  • Tasks can be scheduled.

  • A contractor and/or technician can be assigned.

  • Date and time for execution can be set.


Bulk Applying Templates

Work Order Templates can also be applied in bulk to multiple Work Orders or Objects.

This functionality is available from:

  • The Object list

  • The Work Order list

Steps:

  1. Navigate to the Object list or Work Order list.

  2. Use filters to identify the relevant Work Orders.

  3. Select multiple Work Orders.

  4. Choose Bulk Action: Apply Work Order Template.

  5. Select the desired Work Order Template.

  6. Confirm the bulk action.

The selected template will then be applied to all selected Work Orders simultaneously.
