Email Templates for Service Provider

This article provides an overview of service provider email templates (RPC emails) in COS Business Engine. It explains each template’s purpose and when it is triggered.

Solution Overview
The email templates listed in this article are designed to keep service providers informed about important events and status changes in COS Business Engine (BE). Each template corresponds to a specific system action — such as order activation, cancellation, or modification — and is automatically triggered when that event occurs, if the email template is activated.

It is possible to deactivate specific email templates, which disables all emails of that type. When a template is deactivated, the emails are still created and logged in the system, but they are not sent to the recipient.

Service Provider email templates (RPC emails) cannot be edited. The content of these templates is managed by COS, and only COS has permission to make changes. If you would like to request an edit or adjustment, please contact COS Support (support@cossystems.com).

The list below provides the template name, a short description, and details about when and why each email is sent, helping service providers understand the purpose of every notification and how it relates to their operations in BE.

SP:Activated Order Sent to Service Provider (RPC email) when an Order with status Awaiting activation is Activated.
SP:Activation Date of Order Has Passed Sent to Service Provider (RPC email) when From date of an Order activation has passed
SP:Cancellation Aborted Sent to Service Provider (RPC email) when pressing Abort cancellation for an Order with status Awaiting cancellation.
SP:Cancelled Order Due to New Provider Sent to Service Provider (RPC email) when an Order (with active from date in future) with another SP is placed on an Object.
SP:From Date Changed Sent to Service Provider (RPC email) when From date on Order is changed.
SP:New Disruption Sent to Service Provider (Email:SP Disruption) when a Disruption is created by the Operator.
SP:New Operator Promotion Sent to Service Provider (Email) when pressing Notify service providers on promotion.
SP:New Order Sent to Service Provider (RPC email) when a new Order is created.
SP:Order Awaiting Cancellation Sent to Service Provider (RPC email) when an Order has status Awaiting cancellation.
SP:Order Delayed Due to Object From Date Change Sent to Service Provider (RPC email) when an Order is delayed due to changed from date on object
SP:Order Needs Approval Sent to Service Provider (RPC email) when an Order is created for a Service that has Automatically approve new order set to No.
SP:Paused Order Sent to Service Provider (RPC email) when an Order has been paused in Customer Portal or Admin.
SP:Service Reviewed Sent to Service Provider (RPC email) when their Service has been reviewed by the Operator
SP:Terminated Order Sent to Service Provider (RPC email) when an Order is terminated.
SP:Ticket Created Sent to Service provider when a ticket is created
SP:Ticket Updated With Note Sent to Service provider when a ticket is updated with a note
SP:Updated Customer Sent to Service Provider (RPC email) when a Customer record is updated.
